    Are you someone who loves creating great first impressions and building positive experiences for people? Do you enjoy roles where every day feels a little different? If so, you could be the perfect fit for our Glasgow office.

    We’re looking for a Workplace Experience Co‑Ordinator who brings warmth, organisation and confidence to the front of house. You’ll be the first person visitors meet, and the friendly voice colleagues depend on. Alongside reception duties, you’ll help keep workplace operations running smoothly, support the wider portfolio and make sure everything behind the scenes is organised and up to date.

    You’ll work closely with the Workplace Champion and the Account Support Manager, but you’ll also have space to take ownership, make decisions and work independently. If you enjoy helping people, staying organised and keeping a workplace moving, this role gives you plenty of variety and influence.


    ✅ Principle Duties & Responsibilities

    🏢 Operations

    • You’ll welcome visitors, colleagues and contractors, creating a friendly and professional first impression.
    • You’ll look after reception tasks, visitor sign‑ins and meeting room bookings, helping the day run smoothly for everyone.
    • You’ll complete site walk‑arounds, report issues, keep systems updated and make sure compliance records stay accurate.
    • You’ll coordinate maintenance activity, support subcontractor visits and follow work orders through from start to finish.
    • You’ll help with orders, invoices and simple reporting, keeping processes clear and organised.
    • You’ll support the Workplace Champion during absence, including helping with cleaning audits, stock checks and routine facilities tasks.
    • You’ll work with contractors on site and help maintain safe, well‑run spaces that follow Health & Safety expectations.
    • You’ll manage your workload confidently and support the operational team so service standards are met.

    🔐 Information Management

    • You’ll handle sensitive and protected information responsibly, following company and client policies.
    • You’ll ensure contractors are properly inducted and documentation is completed and stored correctly.
    • You’ll follow Atlas Workplace Services processes and know when to pause unsafe work or escalate concerns.

    • You’ll bring a calm, professional and positive approach to your work each day.
    • You’ll manage time well, respond constructively to requests and complete tasks reliably.

    🤝 Client & Customer Relationships

    • You’ll build open, supportive relationships with clients and workplace users.
    • You’ll present yourself in a friendly, confident and respectful way, helping create a welcoming culture.

    🛠️ Freedom to Act

    • You’ll work within agreed guidelines while using your initiative when needed.
    • You’ll escalate any Health & Safety concerns to Atlas Workplace Services, including the Head of Health & Safety when required.

  • About You

  • 🎓 Minimum Qualifications, Certifications & Training

    • GCSE (or equivalent) in English and Maths
    • Recognised Customer Service qualification
    • Accredited Health & Safety qualification (e.g. IOSH Working Safely or equivalent)
    • First Aid Certificate — Emergency First Aid at Work as a minimum requirement

    🧠 Knowledge, Skills & Experience

    • Previous experience in front‑of‑house, client services or corporate reception environments
    • Strong customer service skills with a confident, professional telephone manner
    • Excellent interpersonal, verbal and written communication abilities
    • Competent IT skills across Microsoft Office, including Word, Excel and Outlook
    • Experience with document management and maintaining accurate records
    • Ability to work effectively under pressure, managing deadlines and changing priorities with ease
